Give us dates for each person
A team may share the same three months on paper while people arrive and leave on different days. Send the arrival and departure date for each colleague or group, together with the overall project period.
If some dates are still moving, tell us which ones are confirmed and which are expected. We start from the confirmed part and keep the later stages in view as your plan firms up.
Count bedrooms as well as people
Headcount on its own leaves too much open. Tell us how many separate bedrooms you need, whether colleagues are happy to share a home and whether anyone is bringing a partner or family. If the arrangement changes partway through the stay, put that change in the brief so we can plan for it from the start.
